Central Reservation Agent


Hourly Wage

Work Hours 

The work hours for this position are Mon-Fri, 8:00 am - 5:00 pm


Key Purpose 

The Central Reservation Agent provides proficient and expert service for our internal clients. Seeking a motivated, detail-oriented individual who will be responsible for reserving conference rooms and coordinating meetings and events spaces for the US offices. Reservations will be secured using the Condeco system, an online tool for room booking and scheduling software. Duties performed will include answering phones and emails in an impeccable professional manner, strong communication and customer service skills, and keen attention to detail.

 

Principle Duties

 

  • Strong communication skills
  • Prepare meetings/event set up to correct cost centers for submission
  • Send reports to relevant site for upcoming events and meetings
  • Monitor booking grid to ensure the clients are adhering meeting protocol and guidelines
  • Coordinate with the facilities team to ensure the designed event/meeting set up
  • Assist in maintaining the Above Base billing tracker as needed.
  • Inspect conference rooms to ensure the AV equipment is operable and the room has the designed amount of furniture.
  • Liaison to internal clientele.
  • Engage in meetings to confirm event set ups
  • Able to properly communicate with the food services for catering request and facilities for design set up.
  • Perform other duties necessary to provide general support to the O&M team 


Qualifications Required

 

  • High School diploma or equivalent education 
  • 3 -5 related experience or equivalent combination of education and experience. 
  • Strong knowledge of Microsoft Office, Word, Excel and data entry knowledge. Condeco Systems a plus 
  • Must be a team player and committed to working in a quality environment. 
  • Excellent verbal, written, and organizational skills required. 
  • Demonstrates exceptional customer service skills 
  • Assists with scheduling and organizing activities including meetings, training, etc. 

 

Physical Demand & Work Environment

 

  • Work is performed in an office setting
  • Sitting at a computer for 30% of the time
  • Walking/inspecting/engaging with colleagues/hosting activations the site 70% of the time
  • Must be able to lift a minimum of 25 pounds
  • Must be able to work under pressure and time deadlines during peak periods
