Work Hours 

The work hours for this position are Mon-Fri, 8:00 am - 5:00 pm


Key Purpose

The facilities Coordinator plays a central role in ensuring the office runs smoothly, efficiently, and professionally each day. This position supports employees, visitors, and leadership by coordinating office services, managing vendors, organizing workspace resources, and maintaining a positive and productive workplace environment. The coordinator partners closely with the Facility Manager and other stakeholders to support office operations, manage administrative workflows, and uphold workplace standards.

Key Areas of Collaboration

  • Partner with internal teams (People & Culture, HSE, Finance) to support workplace initiatives.
  • - Communicate clearly with employees, vendors, and building partners to ensure smooth operations.
  • - Support customer-facing teams, leadership, and workplace services personnel.
  • Coordinate with suppliers, service providers, and contractors for office-related needs.


Ideal Candidate Experience

  • Experience in office management, workplace operations, or facilities coordination.
  • Strong administrative and organizational skills.
  • Excellent customer service and communication abilities.
  • Proficiency in Microsoft Office (Outlook, Excel, Word).
  • Ability to manage multiple priorities and support ongoing projects.
  • Experience working with budgets and basic office-related documentation.
  • Ability to maintain a welcoming, service-oriented office environment.


Key Responsibilities

  • Serve as the point of contact for office operations, employee needs, and day-to-day workplace support.
  • Coordinate office services such as reception support, workspace readiness, meeting room preparation, mail handling, and general office upkeep.
  • Maintain inventory of office supplies, kitchen stock, and workplace materials.
  • Schedule and oversee vendors including cleaning services, pantry/kitchen services, mail/shipping, and routine office support.
  • Ensure vendors deliver high-quality service and follow workplace standards.
  • Support contract adherence and collaborate with the Facility Manager on vendor performance.
  • Manage administrative tasks such as email communication, scheduling, documentation, and data tracking.
  • Support special projects (moves, reorganizations, events, workplace initiatives).
  • Maintain shared documents, project schedules, and office records.
  • Process and code invoices to the correct cost centers and support budget tracking.
  • Maintain a welcoming, organized, and safe office environment.
  • Support onboarding by preparing workspace setups, access, and office orientation.
  • Assist with event coordination, meeting logistics, and office communications.
  • Serve as a trusted resource for questions about the office, vendors, and workplace services.
  • Coordinate preventive maintenance or urgent requests through vendors/building contacts.
  • Maintain updated COSHH/SDS documents (as required).
  • Support compliance initiatives and follow company policies and safety standards.
  • Professional office environment with a mix of administrative work and light site walkthroughs.
  • Ability to work under deadlines, manage competing priorities, and support employee needs throughout the workday.


Physical Demands & Work Environment

  • Long working hours
  • Sitting at a computer for 50% of the time
  • Walking/Inspecting the site 50% of the time
  • Must be able to lift a minimum of 10 pounds
  • Must be able to work under pressure and time deadlines during peak periods
  • For California employees, suitable seating is available for this position.
