$25.00 - $27.00 .
Work Hours
The work hours for this position are approximately Mon-Fri, 8:00 am - 5:00 pm
Key Purpose
The Office Support Specialist serves as the eyes and ears of assigned floors/buildings at the site to bring experience to life, enabling a holistic perspective of the whole workday through strong engagement.
Reporting to the Site Hospitality Manager at the site, the Office Support Specialist is responsible for delivering the unexpected, making each encounter fun, exciting and personal. They are an ambassador for brand principles, culture and values; someone who embraces an ethos of outstanding service and keeps it at the heart of everything they do.
Success Criteria
- Highly organized with outstanding coordination and multitasking ability
- Ability to communicate up, down, and across the organization to ensure success
- Knowledge of principles and processes for providing customer service; up to and including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
- Intermediate skill level using Google applications (Gmail, docs, sheets, slides, hangouts, etc.) and Microsoft Office Suite
- Excellent verbal and written communication skills
- Reliable, responsible, dependable, and capable of fulfilling obligations and has a deep desire to anticipate, engage and satisfy customer needs
- Uses a systematic approach to problem-solving
- Always promotes positive guest and co-worker relationships
- Can calmly and effectively adapt to constructive feedback in high-stress environments

Ideal Candidate Experience
- High school or college degree
- 3–5 years of customer service experience in dealing with high-touch clients
- Proven track record of providing stellar support to customers
- Proven ability to function successfully within a strong team environment
- Strong computer proficiency skills (Word, Excel, PowerPoint)
- Demonstrates great interpersonal skills
- Can effectively communicate and relate to all levels within and outside the organization
- Creates and builds positive and productive relationships
Key Accountabilities
- All activities related to the Mailroom and Shipping/Receiving, including Keys Management
- Support/cover reception duties as needed
- Supports event set up and break down that enhance the brand-to-client experience
- Observes our customer’s company culture, employee behavior and the environment to identify experiential needs
- Develops relationships with colleagues and proactively gathers information on their needs to identify customer and ISS services that ensure total satisfaction
- Organizes office operations and procedures, such as flow of correspondence, filing, requisition of supplies, and other clerical services
- Works on community initiatives with the Site Hospitality Manager and Workplace Experience Coordinator of the site, designed to develop connections between colleagues, event support and communications
- Conducts quality control walkthroughs to address immediate issues, pre-empt potential future issues and identify areas for improvement
- Supports the Site Hospitality Manager of the site in making strategic decisions regarding the operational and process optimization for the best colleague and guest experience
- Assisting with catering deliveries when needed
- Copy room organization and inventory upkeep
- Small maintenance tasks (e.g., filter changes, light upkeep, etc. checking fire extinguishers,)
- Setting up amenities and maintaining inventory levels
- Other duties as assigned by ISS leadership
Physical Demands & Work Environment
- Sitting at a computer for 20% of the time
- Walking/inspecting the site 80% of the time
- Must be able to lift a minimum of 35 pounds
- Must be able to work under pressure and time deadlines during peak periods
