Operations Coordinator

Position Overview

The Operations Coordinator plays a key role in supporting day-to-day operational excellence by ensuring smooth workflow across all shifts, maintaining staffing oversight, and upholding reporting and quality standards. This position serves as a central point of coordination between frontline teams and leadership to ensure that established processes, service expectations, and operational playbooks are consistently followed.


Hourly Wage

ISS offers full-time employees a variety of benefits including medical, dental, life and disability insurance, as well as a comprehensive leave program based on employment status. The hourly pay range for this position is $28.00  - $30.00 .


Work Hours

The work hours for this position are approximately Mon - Fri + Weekends, 2:30 pm - 10:30 pm


Key Responsibilities


Operational Continuity & Shift Support

  • Monitor operations across all shifts to ensure consistent service delivery and alignment with daily schedules.
  • Serve as a point of contact for shift managers to resolve immediate operational issues, escalate concerns, and maintain continuity during shift transitions.
  • Verify that shift handoff communications, task lists, and priority items are completed and clearly documented.


Staffing Oversight

  • Track planned vs. actual staffing levels daily, identifying variances and potential shortfalls.
  • Proactively flag staffing risks to leadership and recommend solutions such as shift adjustments, redeployment of resources, or temporary coverage.
  • Maintain visibility of PTO, call-outs, and schedule changes to ensure operational readiness.


Reporting Management

  • Ensure that all daily operational reports (e.g., attendance, shift performance, incident logs, task completion) are submitted accurately and on time.
  • Review reports for completeness and quality, following up with teams on missing information, inaccuracies, or poor-quality submissions.
  • Consolidate daily reporting insights for leadership to support decision-making and performance tracking.


Audit & Quality Support

  • Assist with ZanCompute audits, ensuring checklists, task verifications, and any required data entries or photo documentation are completed according to standards.
  • Upload, track, and validate photo documentation to ensure compliance with client expectations and internal quality guidelines.
  • Partner with onsite teams to address audit findings and follow up on corrective actions.


Policy Adherence

  • Reinforce organizational and client-specific requirements across all leadership and frontline roles.
  • Conduct spot checks to ensure procedures, service routines, and safety guidelines are being consistently followed.
  • Provide reminders, coaching, and resources to shift leaders and teams to strengthen adherence and reduce operational variability.


Communication & Coordination

  • Facilitate clear communication between frontline teams and management to ensure alignment on priorities, updates, and operational changes.
  • Support new process rollouts by helping distribute information, gathering feedback, and verifying adoption.
  • Assist with coordination of special projects, events, and operational initiatives as assigned.


Administrative & Support Tasks

  • Maintain organized records of staffing logs, reports, audits, and corrective action follow-ups.
  • Help track completion of mandatory trainings, certifications, and compliance documentation.
  • Support the Site Manager with routine administrative tasks and project


Skills & Qualifications

  • Strong attention to detail and ability to manage multiple tasks in a fast-paced environment.
  • Excellent communication and follow-up skills.
  • Proficiency with operational reporting tools, scheduling systems, and audit software (e.g., ZanCompute).
  • Ability to collaborate effectively with cross-functional teams and shift managers.
  • Strong problem-solving skills and a proactive approach to identifying and mitigating risks.


Focus Areas:

  • Workforce Operations & Shift Support: Monitor staffing levels across shifts, analyze coverage gaps, ensure routes are adequately staffed to meet service requirements.
  • Staffing Oversight: Monitor payroll accuracy, overtime trends, attendance patterns, and labor hours to maintain compliance and cost control.
  • Operational Reporting & Metrics: Maintain and analyze operational dashboards, staffing reports, attendance trends, and shift validation reports to support operational decision-making for leadership.
  • Audit, Compliance & Quality Assurance: Conduct audits, ensure operational documentation is maintained, and verify adherence to company, client, and regulatory requirements. Support compliance and audit processes including Zan Compute verification, documentation review, and follow-up on corrective actions.
  • Process Improvement & Operational Coordination: Improve workflows, automate reporting tools, support operational initiatives, and ensure consistent execution of site playbooks and procedures.
