Key Purpose

• Occupancy reporting and controls for the region covered
• Complete quarterly space validations businesses to ensure accuracy of floor plans and neighborhoods
• Regular Webcore updating and chargeback reporting
• Space productivity and desk sharing analysis reporting
• Space allocation and vacancy Management
• Forward planning and fulfilling approved business demand
• Produce and maintain restack plans based on Location Strategy.

Qualifications / Experience

• Ideally the job holder should be experienced in Strategy planning, Data management and building and maintaining client relationships.
• Excellent IT skills required with key knowledge of Excel, Word, PowerPoint and Microsoft Project etc. Knowledge of Webcore Occupancy Management systems is essential.

Key Results Areas

Operational

• Understanding the client needs - maintain and develop excellent working relationships and communications with colleagues and clients
• Develop proposed solutions for the space requirements of the client
• Manage customer expectations for space requirement
• Offer Occupancy solutions to the business ie, more space required, improved Agile working or a move.
• Broker space requirement changes between business units
• Agree any moves within your region to make sure that it does not affect any future proposals for space usage
• Dovetail into CRES BAU and Strategic Planning teams to ensure requirements fit with overall real estate strategy
• Monthly reporting of approved and pending move activity.
• Maintain repository for space demand requests and track status for completion, reporting on a monthly basis
• Manage the demand tracker for your region
• Ensure the occupancy utilization sensors / data for all key hubs is maintained and up to date at all times and flag any issues.
• Carry out regular Data audits with business units to ensure accurate
• Establish and maintain effective lines of communication with both clients and ISS colleagues
• Prepare information packs for the delivery team to take forward on the more complex moves.
• Continually monitor space utilization within your region, to understand where it is preforming well, and not so well.
• Manage the unallocated & unassigned lists to keep this at a minimum at all times.
• Manage WebCore data in terms of Business Lines and names-to-desk data in partnership with client contacts
• Report high level headcount data discrepancies/ variations to CRES Portfolio Optimization Planning Manager
• Compliance with legal and client policies and procedures, including environmental and Health &Safety

Client Relationships

• To maintain regular contact with the client representatives to review and resolve operational matters
• To respond rapidly to short term operational issues
• Provide regular updates and management information as required

Health and Safety / Environment

• To bring to the team’s attention any safety issue related to the move
• To conduct day to day operations with due regard to environmental standards, legislation and regulatory requirements.

Quality

• To ensure that the highest quality standards are applied in all areas of day-to-day activity in order to satisfy and maintain ISS Integrated Solutions defined standards and the requirements of external quality verification.

Physical Demands & Work Environment

• Sitting at a computer for extended periods of time
• Must be able to work under pressure and time deadlines during peak periods
• Must be able to lift a minimum of 10 pounds

ISS offers full time employees a variety of benefits including medical, dental, life and disability insurance, as well as a comprehensive leave program based on employment status. The annual salary range for this position is $122000 per month - $152000 per month. Final compensation will be determined based on experience and skills, and may vary from the range listed above.
